Drafting Grievance Letters

When drafting your grievance, whether it's an initial complaint or an appeal, focusing on factual detail.

  • Your grievance should include as much relevant factual detail as possible to help your employer investigate and resolve the issue promptly.

  • The information you provide should be accurate and correct. Remember that your letter may eventually be used as evidence in a tribunal claim.

  • If your grievance involves several issues, it can be helpful to organise them under separate headings for clarity.

  • If you are comfortable doing so, I will provide details of any relevant witnesses who can corroborate your facts. You should also attach any relevant documentation that supports your grievance.

The Importance of Timelines

A timeline of events can help you organise your thoughts and present your case clearly.

  • Keep a record of key dates, incidents, and communications related to your grievance. This can help demonstrate the sequence of events and ensure you present a clear, chronological account.

  • Unnecessary delays can cause memories to fade and may give the perception of an unfair process. While this primarily refers to the employer's investigation, it underscores the importance of you raising your grievance promptly and clearly, as the employer is expected to act promptly once they receive it.

  • Although the Acas Code does not set a specific timeframes for grievance appeals, it suggests you should set out your grounds of appeal in writing without unreasonable delay.
